“What does production actually cost?” is one of the most common questions I get, and one of the hardest to answer with a single number — because it depends entirely on what’s being produced. Here’s how I think about it.
The Big Line Items
- Venue & rentals. Often the largest single cost, and highly variable by location and season.
- Catering & bar. Typically scales directly with guest count, so this is where accurate headcounts matter most.
- AV & production. Sound, lighting, staging — scales with the complexity of your program, not just the size of the room.
- Staffing. Coordinators, stage management, day-of crew — the people making sure everything else actually runs.
The Costs People Forget
Delivery and strike fees, overtime charges if an event runs long, permits for outdoor or public-space events, and insurance. None of these are line items most people think to budget for — until they’re a surprise on the final invoice.
Where Production Fees Fit
A production lead’s fee typically reflects the complexity of what’s being coordinated — the number of vendors, the technical requirements, the length of the event — not just a flat percentage of everything else.
The Real Answer
There isn’t a universal number, and I’d be skeptical of anyone who gives you one before understanding your event. What I can give you is a real, itemized budget once we’ve talked through your vision.
