Behind the Scenes: What Really Happens on Event Day

Clients often ask me what I actually do on the day of their event. From the outside, it might look like I’m simply walking around with a clipboard. But behind that calm exterior is a whirlwind of coordination, problem-solving, and careful orchestration. Here’s a peek behind the curtain.

The Early Hours

While guests are still sleeping, I’m already on-site. For a wedding, that might mean arriving at 7 AM for a 5 PM ceremony. These quiet morning hours are crucial for:

  • Walking through the venue to confirm setups
  • Meeting with vendors as they arrive
  • Handling any overnight surprises (yes, they happen)
  • Creating a calm, organized atmosphere before the chaos begins

Vendor Symphony

A typical wedding involves 10-15 different vendors, all needing to work in harmony. The florist needs access before the caterer sets tables. The band needs to sound check when the venue is empty. The photographer needs the flowers done before the bride arrives. Coordinating these moving pieces is like conducting an orchestra – every entrance and exit matters.

The Invisible Fixes

Here’s what you don’t see: the groomsman who forgot his belt (we have extras), the cake that arrived with a damaged tier (the baker fixed it in the kitchen), the thunderstorm that threatened outdoor cocktail hour (backup plan executed seamlessly). These moments happen at almost every event. Our job is to solve them before you ever know there was a problem.

The Reward

When the first dance happens, when the keynote speaker gets a standing ovation, when guests are laughing and celebrating – that’s when the long hours become worth it. We do this work so you can be fully present in your moment.

That’s the real magic of event planning.
