AV Direction 101: What a Technical Rundown Actually Covers

Clients often hear “AV direction” and picture someone standing near a soundboard. The reality is a lot more detailed — and it starts long before the event day.

The Run of Show

Every cue, every speaker, every transition, mapped minute by minute. Not a vague outline — a real document that every vendor on-site is working from.

Cue-to-Cue

Before doors open, I walk the full show with the AV team: lighting changes, mic switches, video triggers, music cues. If something’s going to go wrong, this is where we catch it — not live.

Mic Plans

How many speakers, how many mics, wired or wireless, lav or handheld, and a backup plan for every single one. Dead air during a keynote is avoidable, and avoiding it is the job.

Contingencies

What happens if a presenter’s laptop won’t connect? If a mic cuts out mid-toast? If the livestream drops? A real technical rundown has an answer to all of these before the event starts, not a scramble in the moment.

Why It Matters

The best AV direction is invisible. Your guests should never know how many contingencies were built in — they should just experience a show that ran perfectly. That invisibility is the entire point.

Planning an event with a real technical program? Let’s build the rundown before we build the run sheet.
